Trade Show Giveaway Planning: A 6-Week Approval and Delivery Timeline

A practical six-week plan for selecting, branding, packing and delivering promotional giveaways before a trade show.

Trade Show Giveaway Planning: A 6-Week Approval and Delivery Timeline
Trade show gifts work best when the product, logo, quantity and delivery plan are confirmed early. This simple timeline helps buyers avoid rushed approvals, expensive shipping and last-minute shortages.
6 weeks before: confirm the event plan
Confirm the event date, city, expected visitor numbers and gift budget. Decide whether every visitor, qualified lead or VIP client will receive a gift. Order 5% to 10% extra for unexpected visitors or damaged items.
5 weeks before: select practical products
Choose items that match the event and are easy to carry. Common options include tote bags, pens, notebooks, drinkware, charging cables, lanyards and small tech accessories.
Check size, weight and packaging. If several products will be combined into one kit, confirm the finished kit size and total weight before ordering.
4 weeks before: approve the logo
Send a clear vector logo file, preferably AI, EPS or PDF. Confirm the logo position, size, printing method, brand color, product color and packaging appearance.
Ask for a digital artwork proof. If color or logo position is important, request a physical sample or clear pre-production photos and video.
3 weeks before: approve the sample and packaging
Check the product, color, logo, spelling, size and function. Also confirm the packaging.
Standard individual packaging is suitable for many giveaways. Gift boxes, insert cards, barcodes or custom sleeves need additional production time. If products are packed as sets, approve one complete set before bulk packing.
2 weeks before: production and inspection
Before shipment, confirm: • Finished quantity • Logo quality • Product color and specification • Packaging and labels • Carton quantity • Carton dimensions and weight
For several event locations, ask the supplier to separate and label cartons by city, team or event date.
1 week before: shipping and distribution
Check the tracking number or shipping documents and confirm who will receive the goods. Prepare a simple event plan: who receives each gift, where reserve stock is stored and what happens to unused items.
What to include in your inquiry
Send the supplier: • Product or reference photo • Quantity • Logo file • Target budget • Packaging requirement • Delivery country and postal code • Required arrival date
Ask for the MOQ, unit price, logo cost, sample time, production lead time, carton information and shipping options.
Final advice
Do not plan only around the production date. Leave time for artwork approval, sample changes, inspection and transportation. A six-week schedule gives both buyer and supplier time to correct details before the event.
