What to Include in a Promotional Gift Inquiry

A clear inquiry helps a promotional gift supplier understand your project and provide more relevant product options.
Messages such as “Please send your best price” often leave out essential information. Product specifications, branding, packaging, quantities, and delivery requirements can all affect the quotation.
Use this checklist to prepare a more complete inquiry.

1. Product Type

Begin with the product category or item you need.
Examples include:
  • Stainless steel tumbler
  • Water bottle
  • Coffee mug
  • Canvas tote bag
  • Paper bag
  • Backpack
  • Lanyard
  • Keychain
  • Notebook
  • Promotional pen
  • Corporate gift set
If you have a reference image, attach it and explain which features are important. Do not rely on the image alone.

2. Product Specifications

Provide any known requirements, such as:
  • Material
  • Size or capacity
  • Shape
  • Color
  • Lid or handle style
  • Number of compartments
  • Included accessories
  • Packaging preference
If you are flexible, clearly say so. This gives the supplier more freedom to recommend suitable alternatives.

3. Required Quantity

State the expected quantity for each product.
If you need pricing at different volumes, request specific quantity levels, such as:
  • 500 pieces
  • 1,000 pieces
  • 2,500 pieces
Avoid asking for “bulk pricing” without indicating the approximate volume.

4. Branding Requirements

Explain how the item should be customized.
Include:
  • Number of logos
  • Number of print colors
  • Preferred branding position
  • Approximate logo size
  • Full-color or single-color artwork
  • Individual names or variable information, if required
  • Packaging branding requirements
Attach the best available artwork file with the inquiry.

5. Product Color

State the preferred product color and acceptable alternatives.
Provide brand color references if color consistency is important. Product materials and finishes can affect how colors appear, so confirm whether an approximate match is acceptable.

6. Packaging Requirements

Explain how the products should be packed.
Possible requirements include:
  • Standard individual packaging
  • Bulk packaging
  • Individual gift boxes
  • Multi-product gift sets
  • Printed boxes
  • Insert cards
  • Barcode or label application
  • Shipment separated by destination
Packaging requirements should be reviewed before the quotation is finalized.

7. Delivery Destination

Provide the delivery country, city, and postal code.
The destination helps determine which shipping options may be suitable. If the products need to be delivered to multiple addresses, mention this at the beginning of the project.

8. Required Arrival Date

Provide the date when the products must arrive—not only the event date.
Allow additional time for receiving, inspection, internal handling, and event preparation.
If the schedule is flexible, state the preferred delivery window.

9. Intended Application

Explain how the products will be used.
For example:
  • Trade show giveaway
  • Employee onboarding kit
  • Client appreciation gift
  • Conference merchandise
  • Retail promotion
  • Corporate event
  • Seasonal gift program
The application helps the supplier understand which product features may be most relevant.

10. Target Budget

A target budget can help narrow the product selection.
Clarify whether the budget refers to:
  • Product only
  • Product with branding
  • Product and packaging
  • Delivered project cost
If you do not have a confirmed budget, request options at two or three price levels.

Promotional Gift Inquiry Template

Use the following format when contacting a supplier:

Budget: Target range, if available
Additional requirements: Accessories, inserts, labels, or other project notes

Confirm that your message includes:
  • Product
  • Specifications
  • Quantity
  • Branding
  • Product color

  • Destination
  • Required date
  • Application

The more complete the inquiry, the easier it is to review appropriate products and prepare a relevant quotation.
